How to prepare a laboratory request for quotation

A clear request for quotation lets suppliers respond to the same requirements. State the exact material or model, the quantity, the specification and documents needed, and the delivery scope. Keep confirmed facts separate from questions.

For a reagent enquiry

Use the complete chemical name and form. Add the required grade or specification if known, quantity and packaging requirements. Ask which product code and batch are offered and which documents can be provided. If a requirement is undecided, label it as a question rather than leaving the supplier to infer it.

For an equipment enquiry

State the required function and the performance or capacity criteria that matter. Include relevant utility constraints and required connections. Request the exact model code, configuration, supply list and supporting documents. Ask which accessories or external equipment are necessary and whether their cost is included.

Make the commercial scope comparable

Specify the destination at the level needed for a quotation and ask how product, packaging, transport and other applicable charges are presented. Request the quotation validity period, availability confirmation, payment terms and the stated delivery basis. Do not compare a product-only price with a delivered-system price as though they cover the same scope.

A concise enquiry template

Please quote for the following laboratory requirement: exact material or model; quantity; required specification or performance; packaging or configuration; documentation required; destination; and requested delivery scope. Please identify the offered product and list included items, exclusions, availability, quotation validity and commercial terms. Please highlight any deviation from the requirements.

Keep a decision record

Save each response against the same requirements. Record any substitution, missing document or unresolved compatibility question. Ask for written clarification where needed. A quotation request is an information-gathering step; a response should be reviewed before it is treated as confirmation that every requirement can be met.

A reusable document-request paragraph

Synthetika’s public pages provide separate routes for documentation services and a missing SDS. An effective request should identify the missing deliverable rather than ask only for “all certificates”.

Original template: “Please identify the exact offered product or model and its chemical or electrical variant. For material, provide the lot reference and the corresponding specification, SDS revision and available batch CoA. For equipment, provide the item code, manual revision, relevant performance data and the scope of included accessories. Please list documents that are unavailable or still provisional.”

This is a template for adapting to an actual enquiry. It has not been sent to Synthetika or presented as a commitment by either business.
