SDS and CoA review: a worked example of document version control

The problem is often the connection between files

A folder can contain several plausible documents and still fail to answer a purchasing question. Imagine receiving a current SDS, an example CoA and a quotation with a batch reference. The example certificate carries a different reference. The files may each have a purpose, but the folder does not yet contain a certificate connected to the offered batch.

Keep a small document register

Give each file a record containing its title, issuer, issue date or revision, source and item reference. Add a separate field for document role: safety information, technical specification, example certificate or batch evidence. Do not rename an example file so that its illustrative status disappears. Retain the original attachment and record any later replacement as a new entry.

Use statuses that describe work actually completed

Useful statuses include not received, received but not reviewed, clarification required and matched to the item. A file being downloaded should change its status to received, not automatically to approved. Record the actual review date and reviewer only after the check has taken place. An empty reviewer field is more accurate than a generated name or an assumed approval date.

Review revisions without losing the question

If a new SDS arrives, record which version it supersedes and why it was supplied. ECHA’s SDS overview explains the document’s safety-information role. A later date alone does not supply a missing batch result. For a replacement CoA, check the product and lot references again rather than assuming that the latest email resolves every question in the original enquiry.

Close one gap at a time

In this example, request the certificate for the quoted lot and retain the response. If the supplier says the lot will be assigned later, record that answer and leave the corresponding evidence pending. If the proposed item changes, reopen the affected checks. A review log should show what is known now, what remains missing and which response would change the status.

Make the record reusable

Keep the register with the quotation so another person can follow the same chain of evidence when the goods arrive. Link the delivered label to the same item record and record discrepancies explicitly. The aim is a traceable review, not a folder with the largest number of attachments. The linked guides below provide the document-role explanation and a checklist for requesting missing information.
